Registers Parent Child Relationships Workflow and Variables

Parent Child Link

Administrators can create register fields that allow them to link register entries together.


A register can be defined as a child of another register by setting the Parent Register field on register attributes to another register as its parent. Additionally, links can be made from the parent register record to an existing Child register record by adding a link using the An Existing Item as a Child option.


Calculated Fields – Access to Parent Register Values

If a register is configured as a child register, then when creating calculated fields, administrators can reference values from the parent record.

In the above example, the register calculated field will display the description from the parent record.


Workflow Variables – Access to Parent Register Fields

Similarly to using parent values in calculated fields (above), workflow variables can reference an attribute of the parent register record.

Above, a variable has been created that will hold the item type of the parent record. This variable can then be used to branch the workflow depending on the type. For example, if the workflow was running on an action register that was a child of a risks and opportunities register, the workflow could take different actions depending on whether the action was a child of a risk or the child of an opportunity.


Linked Register Aggregate Field

A calculated field of type linked register aggregate is used to aggregate a value from other register entries linked to the current item. When defining a field of this type, you can choose which linked records to include in the aggregation:

All linked items will aggregate the values from all items linked to the register entry regardless of whether they are linked as related items or child items:

  • Child items only will aggregate the values from only items linked as children
  • Related items only will aggregate only the values form items linked as related and not as children
  • All Items will aggregate the values from all the records in the register on the same project even if they are not linked to the item


View Cost for Cost Control Registers

To make it easier to access cost information, the Total Cost column in the grid of register items, is hyperlinked. Clicking on the link opens the transactions modal showing the items making up that cost, including account code, cost book line and amount.


This function is part of the Cost Book feature.


Register Workflow Approvals – Bulk Approve Multiple Items

In the grid of register items, multiple items can be approved or rejected at the same time without having to open each entry and approve it individually.

When you select several items, as above, if all of the items are awaiting your approval, the approve and reject buttons will be enabled in the command bar of the grid. This allows you to quickly approve (or reject) a number of items all in one go. If you select a group of items and one or more of those items are not awaiting your approval, the buttons will be disabled and tool tipped with the reason.
