Planned Tasks
Planned tasks are tasks that you are assigned/scheduled to work on in a project.
Your time sheet will show the list of tasks within each project that you are scheduled to work on.
The task duration falls within the current timeframe, i.e. this week, and are less than 100% complete.
Here you can enter the number of hours worked against each task.
Note: You can only update “actual time” for the particular date of entry, or back date actual time spent per task, meaning you cannot enter data for future days/months.
- Click SAVE
- When you are satisfied that you have entered the correct time to each task, click SUBMIT.
You will receive the following prompt:
- Click SUBMIT
Your time sheet will turn grey and the data will be locked. You will not be able to edit your time sheet.
Your time sheet can only be unlocked for edit by a Time Sheet Administrator.
Your Time Sheet Approver will review and action your time sheet.
Copy
If your timesheet is the same as the previous week, you can copy the details without re-entering.
- Click COPY
You will be prompted to confirm.
- Click OK
The details for the previous week will be populated into the current weeks’ time sheet.
You can make further changes to your timesheet at this point or click SUBMIT to submit and lock your time sheet.
Copy and Submit
If your time sheet is the same every week, you can use the COPY AND SUBMIT button. This will copy the previous week’s time sheet and submit it in one go.
- Click COPY AND SUBMIT
You will be prompted to confirm:
Your timesheet will be completed and submitted in one action.
Note: To make changes to a submitted timesheet you will have to contact your time sheet administrator to unapproved and reopen the timesheet.
Unplanned Tasks
Unplanned tasks can be assigned to you by the Project Manager. They can also be selected by yourself in the “Unplanned task” section of the time sheet. This can be used when you have worked on a task that you have not been allocated to, but need to record time against the task.
Navigate to the “unplanned task” section in your time sheet and add time to the tasks that have been added by your Project Manager:
Alternatively, to select the project/task that you have not been allocated too, but need to record time against:
- Click ADD TASK
This opens up the “Unplanned Tasks” section, where you can select a project/task from the drop-down list.
- Click Select to open the drop-down list
When you have chosen the project the task box will activate.
- Select the task
The selected task is added to your time sheet
You can now record your hours against the task.
User Rights
Each user will only have access to his/her own time sheet.
Each Approver, in addition to his/her own time sheet, will also have access to the time sheet of users he/she must approve, via the Approvals screen (as described above).
An Approver is a user who is assigned to approve the time sheet of another user.
The time sheet updates to projects but will be controlled based on the standard access rights the user has to these.
The reports section will be controlled in a similar manner where project selection is required, and project information is returned.
