Linked Items on Registers

Modified on Fri, 9 May at 10:21 AM

Links can be created between register entries and other registers and tasks. This allows for a model where, for example, an entry in a change register requires one or more actions to be completed.

Note: Linked items needs to be configured on your site, for the heading to be visible.

On your register, choose the record you want to link to another item.

  • Click on the register entry to open the “Edit Record” screen.
  • Click on the Linked Items tab to open the Linked Items pane.

  • Click Add.

This opens the following pane where you have the option to link to an existing item or create a new item.

The link type (parent, child, related) is a sortable and filterable column in the grid.

If the link is to a register item, the name of the register is shown in the item type column.

An Existing Item

  • Select ‘An Existing Item’

  • Select the item type
  • Select Project

Once a project has been selected, the list of corresponding items in that project will be displayed for selection:

  • Select Item
  • Click SAVE.

You will see confirmation of “Success” on the top right-hand side of the pane and the record will show the linked item.

Return to the Register screen. The link is created and the register modal is updated to show the newly linked item, in the “Linked Items” column. In this example below it shows 1 link.

Note: To link to an existing item, you must have view access on the item being linked to.

Create New Item

  • Select “Create New Item”

  • Select Item Type (task, risk, issue or register)
  • Select Project (the projects will be displayed in the drop-down list

Note: Depending on the item type selected, clicking NEXT will display the corresponding add item modal. For example, if a new register entry is selected, the add modal for that register will be displayed.

Note: To create a link to a new item, you must have the appropriate ADD access in the project in which you are creating the item.

On completion of the add entry pane, the item will be created and the register modal will be refreshed to show the new linked item.

From the linked items grid, you can:

  • Navigate to the linked item by clicking on the description hyperlink
  • View and update the item by clicking on the pop-out icon in the description column.

Note: If updating a task, only the task name can be changed, to change the dates or duration, navigate to the item in the Gantt.

  • Remove the link by clicking the Remove button.

Note: Removing a link removes the link, NOT the item that is linked.

The number of linked items are shown in the Linked Item section.

Clicking on the count opens the register item with the linked items section automatically expanded.

Note: The ability to link items is available when accessing the register entry from the main register grid and also from the grid behind the register widget. The register widget grid also includes the linked items column.
