Import Builder

The Import Builder enables a user to build and share custom import template that can be used to create new project(s) or add/update information on existing project(s). The following information can be imported:


  • Project Data
  • Project Financials
  • Project Progress
  • Project Smart Form Fields
  • Project Tasks
  • Project Registers


Enabling Import Builder

In order for a User to be able to use the Import Builder an Administrator must first given them access to the feature via their user setup. A User needs to be given the Role of Import Builder.


Navigating to the Import Builder

Once a User has been given the Role of Import Builder, the feature can be accessed via the Global Navigation - Management.


Selecting Import Builder will open the Import Builder control Screen


Enabling Import Builder


Enter a name for the import template in the Import Title.

If the template is going to be shared with other users, check the Shared check-box, otherwise leave it unchecked.


Clicking on ADD SECTION will present the user with a dropdown list of the following Section Types to select.


User can add more Section Types by clicking the ADD SECTION that can be found below the last section.


Clicking SAVE will save the current configuration.


Add Mapping to Sections

After a user has added the Sections, they will then in some case have to add additional fields. This is achieved by clicking on the ADD MAPPING at the bottom of the section.


Additional fields are added by clicking the check-box adjacent to the field name and once all the required fields have been selected clicking on the green tick.

After mapping all the additional fields to be import, click SAVE to save the revised configuration.


Deleting Sections and Mapping

To remove any Sections or Mapped fields, click on the Red X cross either adjacent to the field or at the top of the Section


After deleting any unrequired mapped fields or section, click SAVE to save the revised configuration.


Download Template

After all the required Sections and fields have been mapped the user can download the import template that must be used to import information into Cora PPM.


Click on NEXT at the bottom of the configuration page to move to the import page.


Clicking on DOWNLOAD TEMPLATE will download a Microsoft Excel file to your local hard drive. The name of the file will be the same as the Import Title.

Once the template has been populated with the required information, the user can import the file into Cora PPM.


On the import page, clicking on CHOOSE FILE to select the required file to be imported.


Note: The file must be the same as the template downloaded for the selected Import Title, although the file name can be changed.


Click on RUN to import the file


When the import has finished, the page will display the status of each line imported.


The report will show if the line was imported successfully or if there was an Error and display a message stating the action undertaken or the error.


Section Details

Project Details


By default, the following fields will be added to the Project Data. These fields are Mandatory and empty fields will result in an error importing the row:


  • Action: The following options are available:
    • Create: Add a new project
    • Update: Update an existing project
  • Project Job Code: This is the Internal Order
  • Project Name
  • Project Live Date: This is the Audit Start date


The following additional fields can be added to the import template:

  • Project Status
  • Project Strategy
  • Project Type
  • Parent Project Job Code: This is the Internal Order of the Programme that the project belongs to. This is used to specify where the project should be created in the programme structure.

Project Financials


By default, the following fields will be added to the Project Financial Section. These fields are Mandatory and empty fields will result in an error importing the row:


  • Project Job Code: This is the Internal Order
  • Account Code: As per the Account codes configured in Administration -> Budget -> Account
  • Period: This is the year and month that you want to import data for. The field is a numeric and must be in the format YYYYMM i.e., November 2021 is 202111


The following additional fields can be added to the import template. Empty fields will be imported as Zero 

  • Estimate
  • Budget
  • Actual
  • Forecast
  • Commitment
  • Actual

Project Progress


By default, the following fields will be added to the Project Progress Section. These fields are Mandatory and empty fields will result in an error importing the row:


  • Project Job Code: This is the Internal Order.
  • Category Name: As per the Account codes configured in Administration -> Progress -> Categories.
  • Profiling Element Name: As per the Account codes configured in Administration -> Progress -> Profiling Elements.
  • Period: This is the year and month that you want to import data for. The field is a numeric and must be in the format YYYYMM i.e., November 2021 is 202111.
  • Amount

Project Smart Form Fields


By default, the following fields will be added to the Project Smart Form Fields Section.  These fields are Mandatory and empty fields will result in an error importing the row:

  • Project Job Code: This is the Internal Order.


The following type of smart form fields can be added to the import template:

  • Checkbox
  • Dropdown List
  • Text: Empty fields will be imported as empty fields
  • Numeric: Empty fields will be imported as Zero
  • Date

Download Template


By default, the following fields will be added to the Project Tasks Section. These fields are Mandatory and empty fields will result in an error importing the row:


  • Task Id: 
    • This is the System Id for each Task.
    • The Task ID can be added to the Gantt Chart by right-clicking on the Gantt Chart Headings.
    • If this Task ID is set to Zero a new task will be added to the Gantt chart at the end.
  • Project Job Code: This is the Internal Order.
  • Description: 
  • Start Date: Field format DD/MM/YYYYMM i.e., September 1, 2021 is 01/09/2021.
  • Finish Date: Field format DD/MM/YYYYMM i.e., November 21, 2021 is 21/11/2021.
  • Percentage Complete: 
    • 0 will set the Task Status to ‘Not Started’
    • >0 and <100 will set the Task Status to ‘Started’
    • 100 will set the Task Status to ‘Complete’

Project Registers


The user first has to set the Section Sub Type i.e., the name of the Register that data will be imported into.


By default, all fields in the selected Register set as Required will be added to the Project Register Section. These fields are Mandatory and empty fields will result in an error importing the row:


  • Project Job Code: This is the Internal Order.
  • Record Id: 
    • If the Record ID is set to Zero a new Record will be added to the Register.
  • Description: 
  • Raised By: This is the Username
  • Raised Date: Field format DD/MM/YYYYMM i.e., September 1, 2021 is 01/09/2021.
  • Owned by: This is the Username
  • Status

The user can also add any of the remaining fields in the register to the Import
