Kanban Board

This board provides a different view of the tasks in the project and allows the project team to visualise the work in progress and see what to do next. 


There are a number of steps required to configure a Kanban Board.#

1. Define a column set. 

This is done under ADMIN | SMART FORMS | DROPDOWN LISTS


Board columns are configured in the same way as any other list but the area must be set to ‘Kanban Board’


2. Associate Columns with a Project Type. 

UNDER ADMIN | SYSTEM | PROJECT | PROJECT TYPES, link the list you configured in step one with the project type:


3. Add the Kanban Board to the project toolbar. 

Under ADMIN | CONFIGURATION | PROJECT TOOLBAR, add the Kanban Board page to the toolbar. All of the project tasks can now be managed on the board you have configured but moving tasks between columns will not affect their status or percentage complete. For each task, the standard Task Manager is available where the user can set these values but in addition, administrators may optionally create list of standard activities that can be associated with a task. Task Activities are configured under ADMIN | SYSTEM | TASK ACTIVITIES: 

Above, a set of activities associated with a design task have been created. Each task can be

assigned a weighting indicating how completion of it affects the overall completion of the task.

Once activities have been defined, they can be associated with a task via the Task Manager:

Once activities are associated with a task, the user can update the percentage complete of the task

by marking off the progress on each activity. Right-clicking on the percentage complete on the task

card provides quick access to update the percentage complete:



As the percentage complete of each activity is updated, the overall percentage complete for the task

will be set based on those weightings.


Notes:

If no Kanban board is configured for a project type, opening the page will redirect the user to the WBS.

Moving tasks between columns will not automatically change the task status. However, setting all of the activities to 100% will move the task status to complete.

The Kanban Board will, by default, display all the tasks for the project. Typically, a board will be used to manage tasks over a defined period of time or specific phase. You can use the filters from the toolbar to limit the amount of tasks displayed.
