Click “Portfolio Mapper” from the "Portfolio" drop-down list.
This will open the following pane where you can create different portfolios and have different swim lanes to show a hierarchy to these.
In the example, you can see:
- Lane 1, on the far left is “Global Enterprise” which links to everything;
- Lane 2 shows the Portfolio Types, e.g., IT Portfolio, EPPM Portfolio, Investments, Property & Facilities, etc.;
- Lane 3 shows the breakdown of the Portfolios inside the Portfolio Types;
- Lane 4 shows the sub-portfolios.
So, for instance the “IT Portfolio” has an IT Assets Portfolio which in turn has Servers and Mobile Devices. It also has an IT Services Portfolio which has Digital Services, IT Service Implementation, etc.
This screen will always show the budget of each portfolio all drawing down from the far left-hand side.
There is always a single card on the left which is the complete funding you have across the business, so in this example there is 5 Billion. This is then broken down across the different portfolio types.
You can change the funds in the Portfolio Types. For example, if you wanted to increase the funds of the IT portfolio you can, however you have to make sure that everything in the Portfolio Type column does not exceed 5 Billion. You cannot have more than what has been given to you from the Parent Portfolio in the Global Enterprise (on the left).
Likewise, the IT Assets Portfolio cannot have any more than what the IT Portfolio has. In fact, you can see any unassigned budget, therefore this can be added to any one of these portfolios.
Add a New Portfolio
To add a new portfolio, click “Fund Portfolios”
This opens the following pane:
- Enter a Portfolio name;
- Select an owner from the drop-down list;
- Enter a budget.
Note: It tells you the available budget which, in our example is 30 Million. You will not be able to enter any more than what is available.
- Add comments;
- Select user groups;
- Click SAVE to add the new Portfolio, or CANCEL to abandon the action.
Budget Allocation
If we take a look at a bottom level portfolio, for example the Innovation Portfolio, which does not have any sub-portfolios.
The budget funds are 250 million. There are 7 scenarios on how to allocate these funds.
Click the pop-out to look at the seven different scenarios:
These scenarios can be created by different people, shown in the “Owner” column, and they look at the scenarios from different perspectives, e.g., Philip is looking at the high risk - high reward, or low risk - low reward perspective, Louise is looking at low capacity options that focus on the projects which may have a small demand on resources, Tom has created a scenario which is a plan of projects key to investors.
