You can create multiple scenarios to optimise the portfolio and see which projects are in/out of budget.
Benefits
- Easily add and remove projects in each scenario;
- Reorder projects based on priority to adjust the scenario;
- Easily see which projects are in and out of budget through a waterline;
- Users can have their own views with different headings for project comparison;
- Create multiple scenarios to cover a range of options.
Create Scenario
There are two ways you can get to the Portfolio Planning screen to create a scenario:
- Use the drop-down list on the menu bar:
- On the SPM dashboard, click the tab “Portfolio Planning”.
The following pane will open where you can create a new scenario, load a scenario or manage a portfolio.
Load Scenario
If you load a scenario, you can then choose the structure that we previously saw on the Portfolio Mapper page.
- Click “LOAD SCENARIO”;
- Use the Search option or choose the scenario from the drop-down list. Our example is “Investor Plan 2030”:
- Click OPEN.
Note: This is another way of getting to the “Investor Plan 2030” scenario as shown in Scenario Planning above.
You will see the tab has now switched from the standard Portfolio dashboard into the SPM one.
At the top of the screen, it shows:
- The name of the scenario;
- The budget which is 250 Million;
- There are 19 projects inside this portfolio;
- The remaining budget is -160,783,000.
There is a warning that the Scenario budget has been exceeded.
If you start scrolling down the page you will see a red line.
For your budget scenario, you would have the budget and prioritisation columns enabled, so you can sort your projects from high priority to low priority.
The red line still appears more than half way down the page. Everything above the red line can be funded with the 250 million, which means you can fund 11 projects, but there are 8 projects that cannot be funded.
You can choose to remove these from the scenario by clicking the remove button on the left-hand side.
In this example you can see that there are currently 19 projects in the “Investor Plan 2030”, the Budget is 250 Million and the over budget figure is current -160,783,800.
To add a new project to the list, click on the “Strategy Execution Management” tab.
Check the box next to the project(s) that you want to add. In our example we have added “Purchase Equipment for Site A” which has a budget of 46,350,000.00.
Across the top you can now see that there are 20 Projects in the “Investor Plan 2030”. The budget is still fixed (250 Million) but there is an increase in the over-budget figure, which now shows as: -207,133,800.00.
- Click back into the Investor Plan 2030 tab.
You will see that the red line has shifted higher up because the “Purchase Equipment for Site A” project is a higher priority, but is extremely expensive on its own.
By adding more projects to the scenario, it makes this red line move. The red line automatically calculates based on the budget column and the budget comes from the budgetary figure in enterprise financials.
You can look at the scenarios through different lenses by sorting the projects on any significance, for example, level of risk, priority, status, budget, etc.
You can then decide if the project(s) you have added is a good idea or not. In our example, the project “Purchase Equipment for Site A” is extremely expensive, so we can remove it.
You will be prompted to confirm the action:
- Click REMOVE.
This does not delete the entity; it just takes away from the scenario.
You can see that the projects in this scenario have reduced from 20 to 19 and the red line has moved down because the 46,350,000 has been removed the budget can be spread across more projects.
Functions
Duplicate
If you want to create several scenarios very similar to each other you can use the DUPLICATE option on the right-hand side of the screen.
- Click DUPLICATE to open the following pane where you can add it into a portfolio, give it its own name, owner and a description:
- Click SAVE to copy the scenario.
View Resource Demand
View resource demand takes you to the SCM resource demand page with just these projects enabled so you can link back into it to SCM.
- Click VIEW RESOURCE DEMAND:
Edit Scenario
You can edit the scenario by clicking EDIT SCENARIO:
The following pane will open where you can edit the scenario by changing the Scenario Name and Owner, also you can give a description.
- Click Save to confirm your edits.
Note: You have the option to DELETE the scenario by using the button on the bottom left-hand side.
