Cora Hub: Import Builder

Everything an administrator needs to set up before end users can use Import Builder — granting access, preparing the registers it targets, and setting up automated Scheduled Imports.

Grant a User Access to Import Builder

1. Open the user's Edit User page from your Users admin area.

2. Scroll to the Roles section.

3. Check ImportBuilder in the custom roles list.

4. If Import Builder Logs is enabled and the user should see that tab, also check ImportBuilderLogs.

5. Save the user record.

Review the Built-In Import Builder Roles

To review these roles, open Custom Roles under Admin and find ImportBuilder and ImportBuilderLogs. You can rename a role's Description if needed, but Key and Description must each stay unique.

Prepare the Custom Registers Import Builder Targets

A Project Registers section in Import Builder can only target a register that already exists. Set these up first so end users can select the correct value in the Section Sub Type dropdown.

1. Open Project Registers Configuration under Admin.

2. Click Add, or open an existing register, to reach its Log Details.

3. Set the Display Name and choose a supported Register Type.

4. Define the register's Fields and Groups.

5. Save the register.

Check Which Feature Toggles Are On

1. Open My Installation under Admin.

2. Switch to the Features tab.

3. Review the Feature Toggles and Permanent Toggles lists to confirm whether Import_Builder_Data_Logs is currently on for your organization.

Set Up a Scheduled Import

Use a Scheduled Import to run a saved Import Builder template automatically against files that arrive on a schedule.

1. Open Scheduled Imports under Admin → Imports.

2. Click Add.

3. Complete the fields shown in the table.

4. Save the scheduled import.

Back on the grid, drag a row to reorder scheduled imports or use its Delete action, with confirmation, to remove one entirely.

Confirm a Workflow, if Using Submit to Workflow

End users only see the Submit to Workflow option in Import Builder when Cora PPM finds an active, applicable workflow.

1. Open Configure Workflows under Admin → Workflow.

2. Confirm a workflow exists and is active for the relevant area, such as Project Financials or the specific register or smart-form type your users will import into.

3. If none exists yet, create one before telling end users to expect the Submit to Workflow option.

FAQ

• Question: Do I need to create the ImportBuilder role myself?
  Answer: No. It is a built-in system role that already exists. Grant it to specific users from their Edit User page.

• Question: Can I grant Import Builder access to a group of users at once?
  Answer: No. Access is granted one user at a time in this version.

• Question: Why don't newly created registers show up in a user's Section Sub Type dropdown?
  Answer: Only Standard, Cost Control, and Alternative Hierarchy registers appear there. Baseline Change Control registers do not.

• Question: Can I turn on the Import Builder Logs feature myself?
  Answer: No. Cora Systems enables feature toggles at the database level. The Features tab only shows current status.

• Question: What is the difference between ImportBuilder and ImportBuilderLogs?
  Answer: ImportBuilder grants access to the screen. ImportBuilderLogs grants visibility of the logs tab when the feature toggle is on.

• Question: Why is my Scheduled Import File Name pattern matching more or fewer files than expected?
  Answer: It is evaluated as a regular expression, not a literal filename. Test variable filename patterns carefully.

• Question: Do I need to set a new SFTP password every time I edit a Scheduled Import?
  Answer: No. The password is required the first time, or when deliberately changing the stored password.

• Question: Is there a limit on how many sections or how large a file end users can import?
  Answer: There is no admin-configurable section-count limit in Import Builder. Effective file-size limits come from server or IIS configuration.

• Question: Can I reorder my Scheduled Imports?
  Answer: Yes. Drag and drop rows on the Scheduled Imports grid to set run order.

• Question: What happens if I uncheck Active on a Scheduled Import?
  Answer: The background job skips it without deleting it, which pauses the recurring import temporarily.
