In the register grid you have the ability to copy register entries either to the same project or to a different project. Entries can also be moved between projects.
- Navigate to the column header “Copy” and select the icon
Clicking the Copy icon, displays the following pane.
From this pane you have the option to:
- Copy the register entry to the current project;
- Copy the register entry to a different project;
- Move the register entry from the current project to a different project, or
- Transfer an item from one register to another.
Copy to Current Project
To copy an item to the current project:
- Click the copy icon on the register to open the following pane:
- Check the radio button for “Copy to Current Project"
Note: If you want the attached documents to be copied, check the “Include Documents” box.
- Click COPY
Note: You will be given the option to “Edit” or “Cancel” the request.
- Click EDIT to update to the details
- Click SUBMIT to confirm the request.
Again, you will be prompted to confirm.
- If you are happy to proceed, click “Submit”.
Your copied project will show in the Register.
Copy to a Different Project
To copy an item to a different project:
- Click the copy icon on the register to open the following pane:
- Check the radio button for “Copy to a Different Project”;
- Select the name of the project from the drop-down list;
- Check the “Documents” box so that all attached documents are copied;
- Click COPY.
Note: You will be given the option to “Edit” or “Cancel” the copy/move request.
- Click EDIT to update the details.
- Click SUBMIT to confirm the “Copy to a Different Project” request.
Again, you will be prompted to confirm.
- If you are happy to proceed, click “Submit”.
Your copied project will show in the new destination you have chosen.
Move to a Different Project
To move an item to a different project:
Click the copy icon on the register to open the following pane:
- Check the radio button for “Move to a Different Project”;
Note: An entry can only be moved to another project if the user has permissions to create entries in that project.
- Select the name of the project from the drop-down list;
Note: “Include Documents” is not available when you move an entry to a different project.
- Click COPY.
Note: An item cannot be moved if it has an active workflow.
You will be given the option to “Edit” or “Cancel” the copy/move request.
- Click EDIT to update to the details.
- Click SUBMIT to confirm the Move request.
Again, you will be prompted to confirm.
- If you are happy to proceed, click “Submit”.
Your project will show in the new destination you have chosen.
Move to a Different Project
To transfer between registers:
Click the copy icon on the register to open the following pane:
- Check the radio button for “Transfer”;
Note: When transfer is selected, the user must select the register to transfer the entry to.
- Select the name of the project from the drop-down list;
- Check the “Documents” box so that all attached documents are copied;
- Click TRANSFER.
Note: When the user clicks the Transfer button:
- A new entry is created in the selected register
- The transferred entry is marked as closed in the source register
- The new user is automatically navigated to the new register and the entry is opened in a modal for the user to edit before saving
Notes: When the item is transferred, the name and type of field is used to copy the data across. For example, if the source register has a text field labelled ‘Notes’ and the destination register also has a text field labelled ‘Notes’, the data will be transferred across. If the name and type do not match the data is not copied. Therefore when configuring, for example, a risk register and an issues register, ensure that fields common to both have the same names to avoid the user having to manually transcribe any data.
An item can only be transferred between registers on the same project. To transfer an item from one register to a different register on a different project, would require two steps. First, transfer the item within the project, then use the move functionality to move the item to the other project.
Users must have add permission on the destination register in order to transfer an item to it.
