Admin - Snapshot Report

Modified on Tue, 20 Oct at 11:27 AM

What's new in 1.26.4

  • Font Size and Font Shade for Custom Field sections. Users can enlarge (Large ≈125%, Largest ≈150%) and darken (Dark) the text in a Custom Field section. It is set per section by the report author, and no admin setup is needed.

  • Page breaks in PDF export. A per-section Start on a new page option adds page breaks to the PDF (Automatic Layout) export, and the “Single Page” export option is renamed Automatic Layout. No admin setup is needed.

  • New filter in the Tasks section. The Tasks section gains a filter that works the same way as the filter on the Registers widget. No admin setup is needed.

Overview

Snapshot Report (shown as Flash Report in the Reports menu) is a self-service status report that end users build and run themselves for a single project and, optionally, its sub-projects. There is little to configure on the report itself — as an admin, your job is to make sure users can reach it and that the settings it reads from elsewhere in Cora PPM (RAG thresholds, calculated RAG, PowerPoint templates, optional features) are set up the way your organisation expects.

What is it used for?

From an admin perspective, Snapshot Report depends on configuration owned by other areas of Cora PPM. Getting those right means the report shows the right fields and the right RAG colours:

  • Access — whether users see the report in their Reports menu.

  • RAG thresholds — how far a milestone or task can slip from baseline before it shows Amber or Red.

  • Calculated RAG — whether the RAG status fields are available in the report’s Summary panel.

  • PowerPoint templates — which slide templates users can choose when exporting to PowerPoint.

  • Optional features — for example the Workflow Audit History section, which Cora Support enables on request.

Configuration (Admin)

  1. Make the report available to the right users. Grant access to Reports › Flash Report for the user groups who need it.

  2. Set the RAG deviation thresholds. In task configuration, set the Red and Amber thresholds for finish-date deviation from baseline. These drive the milestone and task RAG colours shown on the report.

  3. Override thresholds for individual projects (optional). Where a project needs tighter or looser tolerances, apply a baseline RAG override on that project. The report uses the project’s override in place of the global thresholds.

  4. Switch on calculated RAG (if you want RAG fields in the Summary panel). The Calculated, Time, Costs, Risks, Issues, Milestones, and Tasks RAG Status fields are only offered to users when calculated RAG is enabled.

  5. Provide PowerPoint export templates. When users export to PowerPoint they pick a template from a dropdown. Make sure your organisation’s approved templates are available.

  6. Request optional features from Cora Support. The Workflow Audit History section type is only available once Cora Support has enabled it for your environment. Raise a support request if your users need it.

Things to Watch Out For

  • Saved reports are per user. Each user’s saved report designs are stored against their own account. There is no admin view of other users’ saved reports and no way found to publish a shared design.

  • Changing RAG thresholds affects every report run afterwards. Reports are live — there is no frozen copy — so a threshold change immediately changes colours the next time any user runs a report.

  • Per-project overrides explain “inconsistent” colours. Two projects with the same slippage can show different RAG colours if one has an override. Check the project override before raising a defect.

  • Summary fields depend on other settings. Project Phase appears only if phases are enabled; Invoice Type only if invoicing is configured; Resource Demand Start/Finish/Strategy only if skill planning is configured; RAG fields only if calculated RAG is enabled.

  • Older saved reports are upgraded automatically when loaded after a release, so no admin action is needed to migrate them.

  • Not available: portfolio-wide runs, Excel export, and scheduled/email distribution are not part of this report

  • Existing saved reports are unaffected by the 1.26.4 font options. Reports saved before 1.26.4 render exactly as they did, and their Custom Field sections show Font Size and Font Shade as Standard.

  • Export label rename (1.26.4). The PDF export options are now Automatic Layout (was “Single Page”) and Manual Layout (was “manually change the layout”). Update any internal training material, screenshots or work instructions that use the old labels.

  • PDF pagination may change. Reports that use Large or Largest font sizes, or Start on a new page, may paginate differently. Paper size and print scaling are still controlled by the PDF viewer (for example Adobe Acrobat), not by Cora PPM.

  • Custom HTML text function fields. If your organisation uses text function fields containing custom HTML, they may not format correctly when a user picks Large or Largest for that section.

FAQ's

Question

Answer

Is there a specific permission for Snapshot Report?

None has been found. Access appears to follow standard page and menu security.

A user says the Workflow Audit History section is missing. Why?

That section type is only available when Cora Support has enabled it for your environment. Raise a support request.

Users can’t find the RAG status fields in the Summary field list.

Those fields only appear when calculated RAG is enabled. Check that setting.

Can I see, edit, or recover another user’s saved report?

Saved reports are stored per user.

Do I need to do anything to saved reports after an upgrade?

No. Older saved reports are upgraded automatically when they are loaded.

Notes

  • The report is named Flash Report in the Reports menu and Snapshot Report elsewhere (for example the PowerPoint export title); some documentation calls it the 4UP Snapshot Report. All refer to the same feature.

  • The report has no sign-off, approval, or publish workflow of its own.

  • None of the 1.26.4 Snapshot Report changes (Font Size / Font Shade, Start on a new page, the Automatic Layout rename, the Tasks section filter) needs admin configuration; all of them are set by users within each report.

  • This page is a first draft based on product research; navigation paths and several behaviours above still need confirmation from Product or Cora Support.
